This policy explains what information Martin Property Development, LLC, doing business as Arkansas Compliance Safe ("ACS," "we," "us"), collects through the ACS mobile app and arpermitsafe.com, how we use it, who we share it with, and the choices you have.
Information we collect
Information you give us
- Account information: your name, email address, phone number, business name, business locations, and permit details you enter.
- Staff records: names of employees you add, their training progress, quiz results, and certificates of completion.
- Compliance records: self-audit checklists, incident and violation logs, inspection notes, e-signatures, and documents you create or upload.
- Scanned documents and photos: images you capture with the document scanner, such as invoices, permits, and paperwork.
- Forum posts: questions, replies, and other content you post in the permit holder forum.
- AI rulebook questions: the questions you type into the AI rulebook and the answers returned.
- Support messages: anything you send us by email.
Information collected automatically
- Device and usage data: device type, operating system, app version, crash reports, and basic usage events needed to run and fix the app.
- Notification tokens: an identifier that lets us send law change alerts and other notifications you've allowed.
- Website data: our website host keeps standard server logs (IP address, browser type, pages requested) for security and reliability. The website does not use advertising or tracking cookies.
Camera access
The app asks for camera access only so you can scan documents and capture photos for your compliance records. You can turn camera access off at any time in your device settings; the rest of the app will still work.
Payment information
Subscriptions are purchased through the Apple App Store or Google Play. Apple and Google process your payment. We never receive or store your card number.
AI rulebook and third-party AI
The AI rulebook sends your question to Anthropic, the company that provides the Claude AI model, to generate an answer. The app asks for your permission before your first question is sent, and the AI rulebook stays off unless you allow it.
- What is sent: the text of your question and the Arkansas rules and regulations the answer is drawn from.
- What is not sent: your name, email, business name, permit numbers, staff records, or compliance logs.
- How Anthropic uses it: only to generate the answer. Under Anthropic's commercial terms, data sent through its API is not used to train its AI models.
- Your choice: you can withdraw permission at any time in the app's settings. Every other feature keeps working without the AI rulebook.
Don't include personal information about yourself, your staff, or customers in rulebook questions.
How we use information
- To provide the app's features: training, certificates, records, the rulebook, the forum, and alerts.
- To manage your account and subscription.
- To send notifications you've allowed, including law change alerts.
- To answer support requests.
- To keep the service secure, prevent abuse, and fix problems.
- To comply with legal obligations.
We do not sell your personal information, and we do not use it for third-party advertising.
Who we share information with
We share information only with service providers that help us run ACS, and only as needed for them to do that work:
- Google Firebase: app hosting, database, sign-in, file storage, notifications, and crash reporting.
- Anthropic: AI rulebook answers, as described above, only after you give permission.
- Apple and Google: subscription billing and app distribution.
- Brevo: account and service emails, if you're on our mailing list.
- Netlify: website hosting.
We require these providers to protect your information and to use it only to provide their services to us. We may also disclose information if required by law, such as in response to a valid subpoena or court order, or to protect the rights and safety of our users or others.
Forum posts are visible to other ACS users. Don't post anything in the forum you want to keep private.
How long we keep information
We keep your account and compliance records while your account is active so they're available when you need them, including for inspections. When you delete your account, we delete or de-identify your personal information within 30 days, except where we're required to keep it by law or need it to resolve a dispute. Backups are overwritten on a regular schedule.
Your choices and rights
- Access and correction: you can view and edit most of your information in the app.
- Account deletion: you can delete your account in the app's settings or by emailing support@arpermitsafe.com. Deleting your account deletes the records stored in it, so export anything you need first.
- AI permission: you can turn the AI rulebook permission on or off in settings.
- Notifications and camera: you can turn these off in your device settings.
- Emails: you can unsubscribe from marketing emails using the link in any email.
Deleting the app from your phone does not delete your account or cancel your subscription. Cancel your subscription through the App Store or Google Play.
Security
We use encryption in transit, access controls, and reputable cloud providers to protect your information. No system is perfectly secure, so we can't guarantee absolute security. If we learn of a breach that affects your personal information, we'll notify you as required by Arkansas law.
Children
ACS is built for businesses and their adult employees. It is not directed to anyone under 18, and we don't knowingly collect information from children. If you believe a child has given us information, contact us and we'll delete it.
Changes to this policy
If we make material changes, we'll update the effective date above and notify you in the app or by email before the changes take effect.
